AI POLICY
Artificial Intelligence
Mindful Music in Concert (MMIC) uses artificial intelligence to optimize operations, improve processes, and support strategic development. This addendum to our privacy statement describes how we deploy AI and which data is involved.
—
What Artificial Intelligence Does MMIC use?
MMIC uses artificial intelligence to improve operational efficiency and effectiveness. This includes analyzing concert attendance patterns to identify trends and inform programming, investigating ticket and revenue optimization opportunities, generating creative ideas for additional productions, and benchmarking MMIC’s performance against industry standards.
MMIC also uses AI to examine operational footprints—analyzing where processes can be streamlined, resources better allocated, and efficiency improved. This serves both sustainability and cost-effectiveness.
All AI initiatives are pre-approved by MMIC’s leadership and must meet strict standards for privacy, ethics, and transparency. AI functions as a tool under human oversight. All insights generated by AI are evaluated and validated by our team before being applied to policy or practice. AI informs human decision-making; it does not replace it.
—
What Data Does MMIC Process With AI?
MMIC does not process personally identifiable data with artificial intelligence systems. This is a core principle. Your name, address, email, ticket history, or any information that specifically identifies you is never provided to AI systems.
The data AI processes is exclusively aggregated, anonymous information. When MMIC analyzes concert attendance patterns, AI sees that certain genres are popular in specific seasons—not who attends those concerts. When we investigate trends, we see which programming resonates and which doesn’t, without any reference to individuals.
This anonymous data helps MMIC develop better programming, generate creative ideas for productions, and optimize operational processes. It enables insights such as “afternoon arrangements for this program type have strong attendance” or “ticket processing could be streamlined in X way.” Benchmark observations work similarly, analyzing publicly available information about how other cultural institutions operate.
—
How Is AI Used for Creative Ideas?
MMIC uses AI to explore creative possibilities. This might mean asking AI to suggest themes for new productions, concepts for audience engagement, or programming ideas. AI helps by identifying patterns in cultural trends and proposing ideas aligned with MMIC’s values and audience.
These creative processes involve no personal data. MMIC provides AI only with abstract information, such as “MMIC programs orchestral music with emphasis on inclusivity. What interesting themes could work for next season?” All ideas generated by AI are reviewed by MMIC’s artistic team and leadership. AI proposes; MMIC’s human experts make final decisions.
—
How Does MMIC Protect This Anonymous Data?
Although the data AI processes is inherently anonymous, MMIC protects it carefully. We work only with AI providers that demonstrate GDPR compliance and transparency about data processing. All AI systems are governed by strict contracts stating that data cannot be used for other purposes or shared with third parties.
MMIC follows data minimization principles. We collect only information genuinely needed for operational improvement and strategic development—nothing more.
—
What Happens If AI Makes a Mistake?
AI can generate incorrect analyses or suggestions. MMIC regularly checks AI output for errors through review by our core team, who critically evaluate all generated insights before applying them.
If you believe MMIC has made a decision based on flawed AI analysis, please contact info@mindfulmusicinconcert.nl. MMIC investigates all concerns seriously.
—
Is My Data Safe?
Yes. Since MMIC does not process personally identifiable data with AI, AI cannot identify or harm you. MMIC works only with secure AI systems. All data is encrypted in transit and at rest.
If a security incident occurs, MMIC follows a clear protocol: isolate the problem immediately, analyze what happened, and communicate transparently. Stakeholders are informed where relevant.
—
Policy Review
MMIC reviews its AI practices annually, usually in March. We evaluate which AI applications genuinely add value, what risks we have identified, and how stakeholders respond to our use of AI. We ensure AI use always aligns with MMIC’s core values of transparency, inclusivity, and privacy respect.
If significant regulatory changes occur or serious risks are identified, we adjust more quickly. All changes are communicated openly.
